ACTION FUND GUIDELINES Rev. August 2009 NOTE: Action Fund regulations have been revised. Please read all information very carefully! IF PLANNING TO APPLY FOR FUNDING, YOUR ORGANIZATION MUST BE REGISTERED WITH THE LEADERSHIP CENTER AND HAVE AN ON-CAMPUS ACCOUNT FOR ACTION FUND MONEY TO BE TRANSFERRED. 1. Application Process 1. Fill out the enclosed application very carefully. 2. Return 7 copies of the packet by the appropriate deadline. 3. Be specific with your request. It is imperative that the committee knows exactly where the money will go. 4. Be reasonable in your request. 5. Sign up for a hearing time (when you return your completed application). 6. Attend the hearing. - The interview setup: The interview consists of two parts: the Presentation and a Question and Answer session. The room will be set up round-table style, and the presenter and the Action Fund Commission will sit at a conference table. The interview will be open to the public and the media. 1) The Presentation: Give as much information as possible about your project and state exactly what the money will be used for. 2) Question and Answer: The Question and Answer session will consist of the committee asking questions to the presenter(s). Examples of questions that may be asked are: “How will this benefit ASU?” “How many members are in your organization?” “How much has the organization raised already for this event?” “Are other fundraisers planned?” “If partial funding is awarded, can this event still occur?” The Presentation and Question and Answer session will be approximately five minutes for each organization’s request. If your organization requests money for two separate events, please sign up for two 5-minute time slots.
Appropriate: An ideal event is an event that will benefit the organization’s service, the student body, and the university community. Examples: Performers – Your organization may want to host a concert, speaker, or lecturer for the campus. Refreshments – If your organization would like to hold an event open to students. Registration Fees – If your organization plans to attend a conference. These are only a few suggestions. If your organization has something that it would like to ask for, fill out an application. Remember that the money should benefit the most students possible, not only your organization.
Inappropriate: Travel costs, lodging, items for personal benefit or use by an individual, philanthropies, office supplies, trophies/awards, retroactive requests, to raise money, etc. Due to the limited amount of money allotted by Action Fund at each hearing, total requests may not always be funded; partial funding is always a possibility. Note: The funds you receive through Action Fund must be spent before the next hearing. For example, if your organization receives funds at the September hearing, the money awarded must be spent before the October hearing. If the money is not spent by the next hearing, it will be withdrawn from your account, and your organization may be deemed ineligible for funds for one calendar year at the discretion of the Commissioner.
The results will be posted by 12 noon the day after the hearings outside the SGA Office.
Money allocated to each organization will be transferred electronically to its on-campus account. Proper paperwork (IDT and/or Requisitions) must be filled out to use the allocated money for the reason(s) specified by the Action Fund Commission. Such paperwork may be picked up from Tami Freeman, Accounting Tech, in room 2041 of the Student Union. She will assist each organization with their funds. Each form must be signed by an officer and the advisor of the organization. Your Organization MUST BE registered with the Leadership Center.
